Do not send patient records or protected health information through our public forms. The public website is for business, professional, community, and general inquiries. If you are working with us in a context that requires protected health information, use only the secure channel designated in your written agreement.

1. Scope

This Privacy Policy describes the practices of Next Gen Medical Systems LLC, doing business as Next Gen Medical ("Next Gen," "we," "us," or "our"), for the public websites that link to this policy, including thenextgenmedical.com, and for information submitted through their public forms.

Member portals, clinic systems, checkout pages, booking tools, or other services may display additional notices. A separate written agreement, business associate agreement, or service-specific notice controls if it conflicts with this policy for that service.

2. Information we collect

Information you provide

Depending on how you interact with us, we may collect:

  • Contact details, such as your name, work email address, mobile number, practice or company, and state.
  • Professional details, such as your credential, role, clinic type, areas of interest, current systems, lead volume, or operational needs.
  • Application and inquiry content, including waitlist selections, representative experience, referral information, form responses, messages, and information you provide during a call or by email.
  • Account information used to provision or manage access to member, clinic, client, or representative services.
  • Transaction information, such as the plan or service selected, clinic name, billing contact details, transaction status, and subscription identifiers. Payment-card information is collected and processed by Stripe; we do not receive the full payment-card number through this website.

Information collected automatically

Our site and hosting, security, and analytics providers may automatically receive technical information such as your IP address, browser and device type, operating system, pages viewed, referring page, approximate location derived from IP address, timestamps, and error or security logs.

If you arrive through a representative link, we store the referral code in your browser for up to 30 days and include it with a later form submission so we can attribute the inquiry. The Growth OS page also uses Google Analytics to understand aggregated site usage and campaign performance.

3. How we use information

We use personal information to:

  • respond to inquiries and evaluate waitlist, supply-access, community, client, and representative applications;
  • verify professional eligibility, create accounts, attribute referrals, and provide requested services;
  • process payments and administer purchases, subscriptions, orders, and written agreements;
  • send confirmations, service messages, requested follow-up, and—where permitted—relevant marketing communications;
  • operate, secure, troubleshoot, analyze, and improve our websites, services, forms, and workflows;
  • prevent fraud, spam, abuse, and security incidents; and
  • comply with law, enforce agreements, and protect our users, partners, and business.

4. How we disclose information

We may disclose information to the following categories of recipients when reasonably necessary:

  • Service providers that host the site, manage contacts and workflows, deliver email or internal alerts, measure site usage, process payments, provide scheduling, or support our technology. These currently include Vercel, GoHighLevel/LeadConnector, Resend, Slack, Stripe, Google Analytics, and Google Fonts, depending on the page or service you use.
  • Our team and authorized partners who need the information to review an inquiry, provide support, fulfill a service, administer a professional relationship, or respond to you.
  • Professional advisers and authorities when needed for legal, accounting, compliance, security, or regulatory purposes, or when we reasonably believe disclosure is required by law or necessary to protect rights and safety.
  • Transaction participants in connection with a financing, reorganization, merger, sale, or transfer of all or part of our business, subject to appropriate confidentiality protections.

We do not sell personal information for money. We may use service providers for measurement and operations as described above. If our practices materially change, we will provide any notice and choice required by applicable law.

5. Health information and HIPAA

This public website is directed to licensed professionals, clinics, business partners, and prospective clients. It is not a patient portal, does not create a provider-patient relationship, and is not intended to receive patient records, treatment details, or other protected health information.

HIPAA applies only in particular covered-entity and business-associate contexts. When Next Gen receives protected health information on behalf of a covered entity under a written agreement, the applicable agreement and HIPAA-required safeguards govern that information. General business contact information or information submitted outside that context is handled under this policy and other applicable privacy laws.

If you send patient or sensitive health information to a public form by mistake, contact us promptly at contact@thenextgenmedical.com.

6. Cookies, local storage, and analytics

We use limited browser storage and similar technologies for referral attribution, site operation, security, and analytics. A referral code may remain in local storage for up to 30 days. Google Analytics may set or read cookies on the Growth OS page. Our hosting and other providers may also use essential technologies to deliver and protect their services.

You can remove stored data through your browser settings and can block or delete cookies. Some settings may affect referral attribution or the operation of third-party checkout, booking, or portal features. Browser privacy signals are honored where required by applicable law.

7. Your choices and privacy rights

Communications

You may opt out of marketing email by using the unsubscribe method in the message or contacting us. You may opt out of marketing text messages by replying STOP. We may still send non-marketing messages needed to complete a transaction, respond to you, or administer an active service.

Privacy requests

Depending on where you live and subject to applicable exceptions, you may have rights to request access to, correction of, deletion of, or a copy of personal information; to learn about how it is used and disclosed; to withdraw consent; or to opt out of certain processing. We will not discriminate against you for exercising a privacy right.

To submit a request, email contact@thenextgenmedical.com with the subject "Privacy request." Tell us the request you are making and the email or phone number you used with us. We may verify your identity and authority before completing the request. An authorized agent may submit a request where permitted by law, subject to verification.

8. Retention and security

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including to provide services, maintain business and transaction records, resolve disputes, enforce agreements, and meet legal, accounting, or regulatory obligations. Retention periods vary based on the information and the relationship.

We use reasonable administrative, technical, and organizational measures designed to protect personal information. No website, transmission, or storage system can be guaranteed to be completely secure, so please use the appropriate secure channel for sensitive information.

9. Children and international use

Our site and services are intended for adults and professional users and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through the site. If you believe a child has submitted personal information, contact us so we can review and delete it as appropriate.

Next Gen operates in the United States. If you access the site from another country, your information may be processed in the United States, where privacy laws may differ from those in your location.
